Booking / Payment / Cancellation Policy

1. General Information

These Booking, Payment, and Cancellation Terms (hereinafter "Terms") apply to all consultation bookings and service engagements made through the website www.evolvingaisystems.com or directly with EVOLVING AI SYSTEMS S.R.L.

By completing a booking or entering into a service engagement, you confirm that you have read, understood, and agree to these Terms. EVOLVING AI SYSTEMS S.R.L. reserves the right to amend these Terms at any time; the version in effect at the time of booking shall apply.

2. Booking Conditions

All consultation bookings are made through our secure online booking system. By booking a consultation, you agree to the terms outlined in this policy.

3. Payment Terms

Payment for consultation services is required at the time of booking. We accept the following payment methods:

• Credit/Debit cards (Visa, Mastercard)
• Bank transfer
• Other methods as specified during checkout

All payments are processed securely through Netopia Payments. Prices are listed in EUR and include applicable taxes unless stated otherwise.

4. No Refund Policy

All bookings are non-refundable. However, we understand that plans may change and are happy to accommodate booking date changes subject to availability. Please contact us as soon as possible if you need to reschedule your booking.

5. Rescheduling

You may reschedule your consultation up to 24 hours before the scheduled time, subject to availability. Rescheduling requests made with less than 24 hours notice may incur a rescheduling fee.

6. Refunds

Approved refunds will be processed within 14 business days to the original payment method used for booking.

7. Force Majeure

Neither party shall be held liable for failure to perform its obligations under a confirmed engagement where such failure results from circumstances beyond that party's reasonable control, including but not limited to: acts of God, natural disasters, pandemics, government restrictions, war, civil unrest, or prolonged failure of essential infrastructure or utility services.

In such circumstances, both parties will make reasonable efforts to reschedule or restructure the affected engagement. If rescheduling is not possible within a reasonable period, the affected party may terminate the engagement with written notice, and any prepaid fees may be refunded on a pro-rata basis for work not yet performed, at our discretion.
